How to Run the Budget Overview Query

This query shows available balances, pre-encumbrances, encumbrances, expenditures, and starting balances of the department or program's budget accounts. 

1. Log in to CUNYfirst.
2. Navigate to Financials Supply Chain > Reporting Tools > Query > Query Viewer. 
3. Enter "BKL_OTPS" for the Tax Levy Budget Query or "BUD_OVER" for the Non-Tax Levy Budget Query in the "Begins With" field and click "Search."
4. Locate the OTPS Budget Overview query (BKL_OTPS_BUDGET_VER_1_3) or the Budget Overview Lookup NTL query (BUD_OVERVIEW_NTLS) in the search results. Favorite this query for future use by clicking "Favorite."
5. The query may be run in the preferred format by clicking "Excel" or "HTML."
   Please note: Popup blockers must be disabled to properly view query results.
6. On the next screen:
   Enter the following information for the OTPS Budget Overview Query:
   1. Budget Period: current fiscal year in four-digit format (e.g., 2020)
   2. Department: five-digit CUNYfirst department code 
   3. Program: 99999, or, if applicable, the five-digit CUNYfirst program code 
   Enter the following information for the Budget Overview Lookup NTL Query:
   1. Budget Period: current fiscal year in four-digit format (e.g., 2020)
   2. Business Unit: BKL55 for Non-Tax or BKL04 for Child Care
   3. Department: five-digit CUNYfirst department code 
7. Click "View Results."
